Terms and Conditions
1. Confirmation:
a. A non-refundable deposit of 10% is due with the submission of this contract to Williams Charters & Tours, LLC with the reservation . Balance is due in full 14 days prior to departure. During this time personal checks are accepted and subject to verification and a returned check fee of $50.00. Charters booked and payments on reservations made less than 30 days prior to departure will require all payments to be in cash or certified funds. When making payment please indicate on your check or other mode of payment, the quote number to insure proper credit. Please make all payments payable to: Williams Charters & Tours, LLC.
2. Cancellation
b. If cancellation becomes necessary any time prior to the scheduled departure date, there will be no refund of the deposit. If cancellation is made within 14 days of the departure date, the customer will result in FORFEITURE of 75% of all payments received. If contract/deposit is not signed and received by and/or payment in full is not received prior to 15 days from departure we will assume that your plans have changed and the bus(es) will be cancelled. In addition bus(es) booked less than 21 days from date of departure will be cancelled if payment in full is not received by the date on the contract. A $150.00 fee will be assessed to “no-shows” and “single-bus” cancellations per charter.
3.Responsibility
When the Chartering Party requests any change in service that results in an increase in miles or hours to that specific charter, an additional charge may be necessary for that additional service.
A detailed itinerary is required for all trips at least 15 days prior to departure. Prices are subject to change based on the final itinerary.
The group is responsible for all tolls, parking, ferry, and entrance fees incurred on the trip.
Unless noted, the group is responsible for providing and paying for each driver with a single, non smoking hotel room. The Chartering Party is responsible for reserving a room(s) for the driver(s). If Williams Charters & Tours, LLC has to reserve and pay for a room, there will be a daily charge per room, per day.
Williams Charters & Tours, LLC is not responsible for any luggage or personal items left either inside the motor coach or underneath the luggage bays. Additionally, this company shall not be responsible for loss of time due to mechanical failure.
4.Driver Hours
Federal Department of Transportation safety regulations prohibit drivers to be on duty more than fifteen (15) hours per day, ten (10) of which are for driving (including a 30-minute pre- and post-trip vehicle inspection). The driver must be given eight (8) consecutive hours off before he/she may resume his/her duties.
5.Damage to Buses
The cost of repairing damage to buses resulting from the conduct and actions of passengers on that specific charter shall be charged to the Chartering Party and is payable as soon as such cost is determined.
6.Arrival Time
Operators are carefully selected and have instructions to drive at all times at a speed within the limits prescribed by law and compatible with safe operation. Unusual road, traffic and weather conditions are beyond Company control. We are also not responsible for loss of time due to mechanical failure, traffic, weather, and unusual road conditions.
7.Equipment
Equipment furnished by Williams Charters & Tours, LLC is thoroughly inspected before being assigned to the charter service to insure uninterrupted service. If for some reason beyond the control of the Company, a mechanical failure makes necessary the replacement of a bus originally assigned to the charter service, the replacement bus may be of a different type. DVD / CD Equipment are installed on our entire over the road motor coaches. Only non-copyrighted video cassettes are permitted to be shown. We are not liable for providing the video nor are we liable for the content shown on the videos. We also reserve the right to sub-contract if it is necessary.
8.Conduct of Passengers
Williams Charters & Tours, LLC reserves the right to refuse to transport persons under the influence of intoxicating liquor or drugs, or who are, or are likely to become, objectionable to other persons.
Passengers shall not interfere with the operator in the discharge of his duty or tamper with any apparatus or appliance on the bus.
The group is responsible for additional days due to weather conditions and/or any other acts of nature. Our daily rate for such events is $900.00 per additional day outside of the agreed upon days for said trip.
9.Damage Deposit
A non-refundable $300.00 deposit (per bus) will be required for groups that are considered high risk as it relates to possible damage to the bus. This applies to excessive cleaning, bodily fluid spills, alcoholic beverage spills and irregular damage while on your trip.
10.Prices Subject to Change
All prices quoted in the confirmation are subject to change if quoted more than 30 days in advance. However, the total quote may not increase more than 20%. Prices will not be guaranteed for reserved buses booked more than six (6) months in advance. Exception: Williams Charters & Tours, LLC reserves the right to impose a fuel surcharge based upon an increase in fuel prices between the time the trip is quoted and the actual service date. This surcharge would be based solely on the increased cost of fuel, and would be calculated on the difference in price per gallon and the total number of miles required for the trip itinerary.
11.Prohibited Items
a.The following items are prohibited without the written consent of the Company:
1.Decorations
2.Smoking
3.Kegs (except secured in the baggage compartment)
4.Golf shoes, ski boots, or other shoes with spikes
5.Fuel containers
6.Fire Arms, explosives, and fireworks (federal law)
7.Pets (exception: service animals)
